Supported files for SmallForce workspace search
SmallForce can index readable text from common business files, including Markdown, plain text, PDFs, word-processing documents, and spreadsheets. Meeting transcripts and other text saved into the workspace can be searched alongside uploaded files.
Prepare useful source files
- Prefer text-based PDFs over image-only scans.
- Use descriptive filenames and folder names.
- Keep headings and table labels meaningful.
- Remove duplicate exports when they contain the same information.
- Split unrelated client material into separate folders.
- Avoid password-protected files unless you first create a readable copy.
Spreadsheets are most useful when columns have clear headers and cells contain values rather than relying entirely on visual formatting. Documents are most useful when important facts appear as real text rather than text embedded in images.
Large files can take longer to become searchable. Search results should always be treated as a pointer to the source; open the document when exact wording, complete tables, or surrounding context matters.
If a file cannot be indexed, it can still remain in the workspace as a project asset, but employees may need a readable companion document to search its contents.
